Job Description

Catholic Charities is looking for a full-time Bilingual Administrative & Volunteer Coordinator in Glenwood Springs, CO.


Provides administrative support and technical assistance in the daily operations and billing procedures of the Regional Office; provides administrative assistance and support to the Regional Director. Assists with administrative aspects of office, client communications, program service inquiries, and outreach activities.


  • Applies appropriate techniques and standards in program development and service delivery.
  • Implements program objectives and performance standards as directed by supervisor/ management
  • Maintains accurate and timely program statistical data to meet reporting requirements. Enters data and generates reports.
  • Drafts communications for signature. May send out routine correspondence.
  • Develops and manages system of collecting routine information on services delivered and the required reports in conjunction with ministry staff.
  • Conducts general intake and client assessments to determine appropriate program and/or basic eligibility.
  • Assists with client call-backs to update on status, request additional information, etc.
  • Assists the Director with scheduling meetings, handling correspondence, and preparing reports, contracts and grants.
  • Answers phone, relays messages, greets clients/public, and represents agency in a professional manner.
  • Inputs basic client information into the client database system.
  • Assumes responsibility for assigned public relations tasks, such as giving brief presentations at local public forums.
  • Processes incoming and outgoing mail.
  • Receives fees and makes bank deposits.
  • Assists program staff as needed to facilitate smooth operation of the program
  • Facilitates communication with community entities and resource providers.
  • Ensures appropriate inventory of office supplies.
  • Completes necessary administrative duties (paperwork, etc.) timely and accurately.
  • Assists with marketing efforts in conjunction with program staff and Director.
  • Works on assignments that are moderately complex in nature where judgment and analysis are required in resolving problems and making recommendations. Ensures that all details of a task are completed thoroughly.
  • Works under minimal supervision. Assignments are received in the form of expected results, due dates and general procedures to follow.
  • Maintains accurate and timely program statistical data to meet reporting requirements. Enters data and generates reports, including a monthly department report showing volunteer service hours.
  • Recruits, screens, interviews and places all volunteers to support the programs, special events, and the daily operations of the Western Slope.
  • Orients all volunteers to the mission, values and volunteer requirements of the Western Slope and Catholic Charities In conjunction with appropriate internal personnel, develops and implements volunteer recognition and retention events and activities.
  • Supports, promotes and adheres to Catholic Charities’ vision, mission, values and Code of Ethics.
  • Reflects Catholic Charities’ commitment to treating all persons with dignity and respect.
  • Uses creativity and innovation in program development and service delivery.
  • Maintains confidentiality of client and agency information.
  • Regular and predictable attendance.


  • Handles information calls as needed.
  • Good steward of Agency human, financial and capital resources
  • Participates effectively as a team member through communication, cooperation, information sharing and problem solving.
  • Participates in staff trainings and programs as required.
  • Any other tasks or duties as assigned.


  • Demonstrated proficiency in administrative procedures and basic accounting.
  • A minimum of two years related work experience working with the public and volunteers.
  • Effective interpersonal and written communication skills
  • Knowledge of Word, Access, Excel to enter data, create communications, and create and generate reports
  • Knowledge of the service population’s cultural and socioeconomic characteristics and the appropriate techniques and practices for the client population.
  • Ability to interact effectively as a team member and independently with Agency staff and with a diverse client base.


Bachelor's degree (BA/BS) from accredited four-year college or university; plus one to two years related experience and/or training; or equivalent combination of education and experience.

Important Notes

This is a full-time position, 40 hours per week.

Hours are Monday - Friday, 830am to 5pm.

Must be bilingual (English/Spanish).

Customer Service & Office experience is helpful.

Experience working with volunteers is preferred.
